Your Schedule Is Full. So Where Did the Production Go?

Your Schedule Is Full. So Where Did the Production Go?

It's Monday morning. Your schedule looks fantastic. Every appointment is filled, your team is ready, and you're expecting a productive week.

By Wednesday, two patients have canceled, a major procedure has fallen off the schedule, and suddenly you're wondering where the production you were counting on went.

Sound familiar?

Here's something Sandy has emphasized for years: A full schedule doesn't necessarily mean a productive schedule.

In our latest Dental Drill Bits episode, we're wrapping up our three-part Finish the Year Strong series with one final priority: protecting the appointments you've worked so hard to schedule.

Are You Looking at the Right Days?

One of Sandy's favorite scheduling principles is surprisingly simple.

Focus on today, tomorrow, and the day after tomorrow.

Too often, scheduling coordinators are busy booking patients two or three weeks into the future while tomorrow still has openings.

Every day represents an opportunity to provide necessary care. Once that day passes, you can't get it back.

Your scheduling coordinator should know the daily production goal, understand what an ideal day looks like, and actively work unscheduled treatment reports and ASAP lists to fill openings.

And here's another important point: One person needs to own the schedule.

Everyone can help, but someone must be accountable.

Are We Teaching Patients to Cancel?

This is one of my favorite conversations from the episode.

Sandy explains how teams sometimes unintentionally encourage cancellations simply through the words they use and the way they manage appointments.

Think about how often we say, "If we get a cancellation, we'll call you."

Or how frequently we move patients from Thursday to Wednesday because Wednesday suddenly has an opening.

Patients have already rearranged their work schedules, childcare, and other commitments to keep those appointments.

When we constantly move them around, what message are we sending?

Sandy recommends replacing the word "cancellation" with "change in the schedule" and treating every scheduled appointment as a commitment worth protecting.

Busy Doesn't Always Mean Productive

There's a big difference between a busy day and a productive one.

Are you meeting your daily production goals? Are patients truly confirmed, or are you simply sending reminders? Does your team know exactly what to do when an opening appears?

These aren't complicated questions, but the answers can make a significant difference in performance.

As we wrap up this series, we've covered following up on unscheduled treatment, collecting outstanding balances and insurance claims, and now protecting the schedule so that recommended treatment actually gets completed.

The common thread?

Consistent systems, clear accountability, and follow-through.

One Challenge for Your Team This Week

Before leaving the office today, look at the next three days.

Are you on track to meet your production goals? Are your appointments confirmed? Does someone have a plan for filling openings?

Because a productive schedule doesn't happen by accident.

Happy scheduling!
